Refund Policy

14-day money-back guarantee (productized SaaS)

If you purchase a productized SaaS subscription (MedFlow, DentalFlowDesk, VetDeck, SalonOS, MechDesk, or CleanRoute) and request a refund within 14 daysof your initial charge, we will refund the full first-period payment, no questions asked.

Email billing@brainiacstechsolutions.com with your account email to request the refund. Refunds are issued to the original payment method within 5-10 business days (Stripe processing time).

Subsequent billing periods

After the initial 14-day window, monthly subscriptions are non-refundable. You may cancel at any time to prevent future charges (see Cancellation Policy), and your access continues through the end of the current billing period.

Annual subscriptions

Annual subscriptions are eligible for the 14-day money-back guarantee. After day 14, annual subscriptions are non-refundable, but you may cancel renewal at any time.

Service outages

If our productized SaaS is unavailable for more than 8 consecutive hours due to issues within our control, we will issue a pro-rated service credit for that outage on request. File a credit request to support@brainiacstechsolutions.com within 30 days of the incident.

Custom-engineering projects

Project-based custom-engineering work is governed by the signed Statement of Work (SOW). Refund terms (deposits, milestones, kill-fees) are defined in the SOW and this policy does not override them. Discovery deposits are typically non-refundable once discovery work begins; subsequent milestones are billed and refunded per the SOW schedule.

Add-on services

Voice receptionist usage, custom integration setup fees, and one-time training sessions are non-refundable once delivered. Unused prepaid minute bundles can be applied as service credit but not refunded as cash.

Chargebacks

Please contact us directly at billing@brainiacstechsolutions.com before initiating a chargeback. We resolve more than 95% of disputes within 48 hours of direct contact. Chargebacks initiated without prior contact may result in account suspension and forfeiture of refund eligibility.
