Cancellation Policy

How to cancel
You can cancel any productized SaaS subscription yourself in two ways:
- Customer portal — sign in at /client/subscriptions, click your active subscription, and choose "Cancel subscription". Cancellation is immediate from a billing perspective; access continues through the end of the current period.
- Email — write to billing@brainiacstechsolutions.com from the email associated with your account. We will confirm cancellation within one business day.
When cancellation takes effect
Cancellations take effect at the end of the current billing period. You will not be charged again. Until the period ends, you retain full access to the Services and your data.
Data export
After cancellation, you have 30 days to export your Customer Data from the customer portal. Common formats supported include CSV, JSON, and PDF for relevant record types. After 30 days, we may permanently delete your data from active systems; backup copies are purged per the 30-day backup retention window.
Past-due accounts
If a payment fails, we follow this dunning sequence:
- Day 0: Immediate email notification of failed payment.
- Day 3: Reminder email; please update your payment method.
- Day 7: Account is automatically paused; you receive a pause notice.
- Day 30: Subscription is canceled; data export window begins.
At any point you can update your payment method at /client/payment-methods to resume service automatically.
Custom-engineering projects
Cancellation of an in-flight project is governed by the signed Statement of Work (SOW). Typically: (a) work completed up to the cancellation date is billed and non-refundable, (b) deposits applied to incomplete milestones are pro-rated per the SOW, and (c) committed third-party costs already incurred (e.g., licenses, cloud infrastructure) are passed through.
Reactivation
You can reactivate a canceled subscription within the 30-day data window with no data loss by signing in to /clientand choosing "Reactivate". After 30 days, you can sign up again but data may need to be reconstructed.
